What to have ready when you call for machine repair

Prepare the machine identification, symptoms, safety information and records needed for a productive repair call.

Identify the machine

Start with the machine type, make and model. If the machine has a control system, record its identification too. A clear photo of the machine identification plate can be useful if it can be taken safely. Tell the shop where the equipment is located and how to reach the person who knows the problem.

Describe the operation the machine normally performs. A CNC machine, injection molding machine, stamping press or hydraulic system may have different symptoms and access requirements. If you are unsure of a detail, say so. An accurate description with a missing model number is more useful than a guessed one.

Describe what changed

Explain what the machine was doing before the problem appeared and what it does now. Does it fail to start, stop during a cycle, leak fluid or make an unfamiliar sound? Note when the symptom occurs and whether it happens every time or only under certain conditions. Record the exact wording of any alarm or fault message.

Separate what you observed from what you suspect. For example, report that movement became slow and a line is leaking rather than assuming a particular component has failed. Do not repeat an unsafe operation to create a symptom. Follow your facility’s procedures and leave diagnosis to the technician.

Explain the current situation

Say whether the machine is down, running with a problem or being assessed as part of planned maintenance. Describe the production operation affected and the urgency of your request. The shop needs to understand the situation, but an urgency description should not be treated as a promise of a particular response or completion time.

Identify a contact who can answer questions about the machine and arrange access. If the person who first noticed the fault is available, their observations may help. Let the shop know about site entry requirements, work restrictions and any other equipment or processes that affect access to the machine.

Gather records and visual information

Have relevant manuals, drawings, maintenance records and previous repair notes available if you have them. Recent changes can be important: explain whether the machine was moved, installed, adjusted or worked on before the fault appeared. Include the date or sequence of events if known, but do not invent details to fill a gap.

Photos can help show the equipment and the area of concern. Take them only when safe and permitted by your facility. For a hydraulic leak, describe its location without touching or approaching a pressurized leak. For an alarm, a photo of the displayed message may preserve the exact text for the technician.

For a valve gate cart request

If you are asking about a custom portable valve gate cart rather than a repair, identify the existing injection molding machine by make and model. Have the number of gates and whether hydraulic or pneumatic actuation is needed ready for discussion. Share any existing documentation or photos relevant to the machine and application.

Also describe the installation and commissioning scope you want quoted. If a detail is undecided, make that clear. Do not assume a price, specification or lead time: those details need to be discussed for the actual request. The cart is custom-built and portable and adds valve gates to an existing machine.

Make the call

Bring the identification, symptoms, location, urgency and records together before contacting the shop. You do not need a complete diagnosis to call. Explain the problem in your own words, mention anything you do not know and be ready to provide a reliable phone number and email address.

West Michigan Machine Repair diagnoses machine problems on site. The more clearly you can describe the equipment and what changed, the easier it is to start a useful conversation about the next step. Follow your site’s safety procedures while the machine is out of service and do not attempt work beyond your team’s procedures.
